Converta is an AI-powered sales meeting analysis tool that captures the meeting’s audio and video, generate transcripts, and extract critical sales insights.
Users can then leverage these insights to automatically update CRM properties, create tasks, and optimize sales follow-ups within HubSpot.
This documentation provides a step-by-step guide on how to use Converta, manage meeting recordings, configure bot permissions, and troubleshoot common issues.
1. Usage
1.1 Calendar
Converta’s calendar view allows users to manage their scheduled meetings seamlessly. From this interface, users can:
Select an analysis type for each meeting, determining how Converta will process the data.
Enable or disable the bot for specific meetings. When enabled, the bot will request permission to join the call.
Manually push the bot into a meeting in case it does not automatically join as expected.
1.2 Teams
Converta supports team collaboration through a shared workspace, allowing multiple users to share meeting insights. Within a team:
Users can invite other members to join their Converta workspace.
Teams are managed by Converta upon request. Clicking on the Create Team button sends a request to the Converta team.
There are two roles within a team:
Managers: Can view all members' calendars and recorded calls.
Members: Can only view their own meetings and recordings.
1.3 Recorded Meetings
This section provides users with a searchable and filterable list of recorded meetings. Users can:
Browse past meetings.
Star important meetings for quick access.
Click on a meeting title or the Review Meeting button to analyze a specific recording.
1.4 Meeting View
Within a meeting view, users can:
Rewatch the video recording of a call.
View the full transcript of the meeting.
Analyze insights extracted from the conversation.
Share meeting summaries or recordings with external stakeholders who are not part of Converta.
1.5 Workflow Automations
Converta provides a no-code automation builder that allows users to create workflows triggered by meeting analyses. Some key functionalities include:
Automatically update CRM properties based on insights extracted from a call.
Trigger follow-up emails based on discussion points in the meeting.
Notify relevant stakeholders about deal risks or opportunities detected in a conversation.
1.6 Bot Permissions
Users can configure bot permissions based on meeting types. Permissions are categorized into:
Own Meetings vs. Guest Meetings:
Own Meetings: Calls organized by the user.
Guest Meetings: Calls the user is invited to.
Internal vs. External Meetings:
Internal Meetings: Conversations within the same company.
External Meetings: Calls involving people outside the company.
Permissions ensure that bots only join meetings where they are allowed, preventing unauthorized recording.
